Overview
Belmont Baptist Church is a non-profit religious organization. We collect personal information only to operate our children's ministry programs and to communicate with the parents and guardians of the children in our care. We never sell, rent, or trade personal information for profit.
This policy covers every children's ministry program and event we run, including Awana (our Wednesday evening children's program), Vacation Bible School, and BBC Kids, along with one-off children's events. One registration and one text-message consent covers them all — you do not sign up again each time a new program starts.
Information we collect
When you register a child, we may collect:
- The child's name, grade, birthdate, and group assignment
- Parent/guardian name(s) and emergency contact
- Contact details — mobile number, home or other phone, email address
- Health and safety information such as allergies, medical concerns, and pickup instructions
- Attendance and check-in/check-out records
We do not purchase contact lists and we do not gather information about you from data brokers. Everything we hold about your family came from you.
How we use it
- Verifying who may collect a child, and keeping check-in and pickup records
- Reaching a parent or guardian quickly in an emergency
- Communicating with parents about their child and the program — including optional text messages
- Planning and running the ministry (group sizes, attendance, leader assignments)
SMS / text messaging
Opt-in
Text messaging is optional and you must expressly opt in. Consent is collected by ticking the SMS-consent checkbox on the registration form for whichever children's ministry program you are signing up for — the current one is at belmontbaptistchurch.com/awana/register.html, and all of our forms are listed at belmontbaptistchurch.com/text-alerts.html — on the matching paper registration form, or by telling a staff member directly. The checkbox is never ticked for you. Consent to receive texts is not a condition of registering for or participating in any program.
Consenting once covers texts about all of our children's ministry programs and events. You can stop them all at any time by replying STOP.
What we send
Check-in and pickup notifications for your child, schedule updates, weather and safety alerts, event reminders, and ministry updates for Awana, Vacation Bible School, BBC Kids, and other children's ministry events. We do not send marketing, advertising, or fundraising texts.
How often
Message frequency varies by program. For Awana, expect roughly 1–3 messages on a Wednesday your child attends. During VBS week the volume is higher — typically a few messages per day at most. Outside those times, messages are occasional.
Opting out and getting help
Reply STOP to any message to opt out. We send one confirmation and then stop texting that number. Reply START to rejoin, or HELP for help. You can also call or email the church office at any time. Message and data rates may apply.
Mobile numbers are passed only to our messaging provider (Twilio) for the sole purpose of delivering the messages described above. Twilio may not use those numbers for its own marketing.
Who else sees your information
- Service providers who help us run the ministry — our messaging provider and our database provider — under agreements that restrict them to that purpose
- Ministry staff and volunteers who need it to care for your child safely
- Where the law requires it, or where it is necessary to protect the safety of a child
That is the whole list. We do not sell, rent, or trade your information.
Children's information
Information about a child comes from that child's parent or guardian and is used only to care for the child during our programs and to communicate with their parent or guardian. We do not market to children.
Keeping and protecting information
We keep information only as long as it is needed for ministry purposes and reasonable record-keeping, after which it is deleted or archived. We use reasonable administrative and technical measures to protect it.
Your choices
- Opt out of texts at any time by replying STOP
- Ask us to show you, correct, or delete the information we hold about your family
- Tell us how you would rather be contacted
